Complete a visit

Everything on the mobile completion screen: task views, checklists, test-strip scanning, water chemistry with automatic LSI, chemicals and parts, the Extras step, voice fill, editing completed visits, and sharing your work.

What happens at the pool

When you finish a stop, the Complete Job screen is where the visit gets recorded: the task checklist, photos (captured with timestamps), water chemistry readings, chemicals used, and notes. Scroll to the bottom of the form and tap Mark Complete to submit. Completions sync to the dashboard in real time, and the customer gets a service report email when the company has that turned on.

Completing visits works offline — the completion syncs when you're back online. The exceptions are voice fill and the Dictate button, which need an internet connection.

Pick how the checklist looks: three task views

Every technician chooses their own layout for this screen under Account → Task View:

  • Guided (Step-by-Step) — the default: "one task at a time with navigation". Swipe (or tap Next/Back) through Overview → each task → Extras → Review. Required tasks block the Next button — a blocked swipe shows "Please complete this task before moving on." The Review step summarizes tasks, photos, parts, and notes, and tapping any row jumps back to fix it.
  • All Tasks (Scrollable) — "see all tasks on one screen": one long form with every task as a card, submit at the bottom. Nothing blocks as you go; unfinished required tasks are listed in an "Incomplete Tasks" alert when you submit.
  • Compact (Dense Rows) — "tight single-line rows for every task", with runs of simple tasks grouped into dense cards. The fastest layout once you know your routes.

Editing an already-completed visit always opens in the Compact layout, whatever your setting.

Checklists and tasks

The checklist comes from the job's task templates — checkoff tasks, text entries, multiple choice, and water chemistry tasks. See task templates and groups for how admins set these up.

  • Tasks can repeat every N weeks (for example, clean the filter every 4 weeks). The timer runs from the last time the task was actually checked off, not the calendar — if it gets skipped, it stays due and shows again on every following visit until someone completes it, and only then does the countdown restart.
  • On off-weeks, a repeating task still appears on the checklist, greyed out as "Not due this visit".

If a task was marked required on this specific job, you can't finish the stop until it's done. The "Required" label on job templates and task groups is guidance only and doesn't block completion.

Water chemistry and automatic LSI

  • Record water chemistry readings per visit. Which parameters you see, which are required, their order, and their pre-filled defaults are configured by your company — see water chemistry settings. Companies can also add custom measurements (like ORP or borates), which show up in your completion flow so you record them each visit.
  • LSI (Langelier Saturation Index) is calculated automatically when water chemistry is recorded — there's nothing to compute by hand. The built-in parameters power the LSI calculation; custom parameters are recorded and shown alongside the reading but don't feed it.

Scan a test strip instead of typing

  1. 1In the water chemistry step, attach a photo of your test strip with Take Photo or Upload.
  2. 2Tap Scan for Values — AI reads the strip and fills in pH, free and combined chlorine, alkalinity, calcium hardness, CYA, TDS, salt, and phosphates. Temperature is left alone (strips don't measure it), and anything you already typed is kept.
  3. 3Check the numbers and adjust. If the strip was hard to read, a "Low Confidence" warning tells you to verify the values before saving.
  • Scanning needs an internet connection — the button only appears when you're online and have a photo attached.
  • The strip photo is saved with the reading, and each reading records how it was captured (typed by hand or scanned from a strip).

Prefilled values and "higher than usual" flags

  • To save typing, the chemistry form seeds from the pool's most recent reading, with a banner: "Prefilled from last reading on {date}. Verify and adjust." The banner disappears the moment you change anything, and prefill never overwrites values you've entered.
  • Prefer a blank form every visit? An admin can turn off the Pre-fill Chemistry From Last Visit toggle on the web dashboard (Technician App Settings page). With it off, every reading starts empty and technicians type each value fresh.
  • Once a pool has a few readings of history, unusual values get flagged inline: "Higher than recent avg" or "Lower than recent avg" next to the reading. It's a typo-catcher and a real-problem-catcher — not a block.
  • Chemical quantities get the same treatment: dosing well above or below the usual amount for that pool shows "Higher than usual (avg: …)" / "Lower than usual (avg: …)".
  • A Recent Readings card shows the last visits' numbers side by side (including LSI) so you can spot trends poolside.

Tap Water Reference

The chemistry step includes a Tap Water Reference card — the fill water's own chemistry for this body of water. Tap Add (or Edit) to open the Tap Water Profile form: pH, total alkalinity, calcium hardness, CYA, free chlorine, salt, TDS, phosphates, and notes ("Well water, high iron…"). As the form puts it: "These values help with drain & refill calculations" — knowing what comes out of the hose tells you where the pool will land after a refill. In the Compact view it lives under the "History & tap water" disclosure.

Which pool the reading saves to: the body-of-water chip

The top of the water chemistry section always shows a tappable chip naming the body of water the reading will be saved to, plus its volume when one is on file — for example, "Main Pool · 15,000 gal". If no body is selected yet, the chip turns amber and reads "Choose body of water". The chip shows even when the location has only one body of water, and even when the task is tied to a specific one — being tied to a body pre-selects it, it doesn't lock it.

  1. 1Tap the chip to open the Body of water sheet: it lists every body of water at that service location with its type and gallons, and check-marks the one in use.
  2. 2Switch to a different body there — the reading re-points to it and that body's reading history loads.
  3. 3Use the Add body of water button at the bottom to add a missing pool or spa yourself, without leaving the completion screen.

This matters when one address has more than one job — say a pool job and a spa job at the same property. Each job's chemistry must point at its own body of water. Otherwise both jobs write to one shared reading history, and each visit pre-fills from the other one's last reading (a spa's 102°F showing up on the pool). If the property has two pools/spas but only one body of water on file, add the missing one from the chip's sheet and the readings separate from then on.

  • The Chemicals Used section further down shows a similar name-and-gallons chip so you can dose without leaving the screen — but that one only appears for bodies of water that have a gallonage on file.
  • Gallons also appear on the mobile job detail screen (the "Bodies of Water" section) and next to each body in the chemicals body-of-water picker in the completion Extras section.
  • To set or fix a pool's volume: on the web dashboard, open the customer's service location page → Bodies of Water → edit the body of water → Gallonage.

Log the chemicals and parts you used

Record the chemicals you added in the Chemicals Used section. Each row has a chemical picker (from your company's chemicals list), an Applied to selector when the property has more than one body of water, and a quantity. The pool's volume is shown on-screen to help you dose — no need to look it up on the web dashboard mid-service. Chemicals flagged "Always Charge" carry an amber badge so you know they'll be billed even on all-inclusive jobs.

  • Admins and owners get a Create New Chemical link inside the picker on the chemistry step — name, customer price, your cost, stock, and unit — with a "Bill to this job" checkbox ("Chemical will appear on customer's next invoice") to charge it in the same motion.
  • A Parts Used section ("Record any replacement parts used during this service") works the same way: Add Part, pick from the company parts list, set the quantity — each part shows its price.

Automatic chemical dosing recommendations are not currently available. You record the chemicals you added manually; the app shows the pool's gallons to help, but it won't tell you how much of anything to add.

The Extras step: photos, extra tasks, and notes

After the checklist (its own step in Guided mode, the bottom of the form otherwise), Extras collects everything that isn't a task: Photos of the completed work (up to 5, camera or gallery), Chemicals Used, Parts Used, Tasks performed (not on the list), and Notes.

  • Tasks performed (not on the list) — "Did anything not on the checklist? Add it here so it gets recorded." Tap Add a task you performed and pick from your company's task templates; the task joins this visit's checklist so you can fill in its response. Great for the "while I was there, I also backwashed the filter" moments — it lands on the service report like any other task.
  • Admins and owners get two extras here: scope chips — Just today (this visit only) or Every visit (added to the job permanently) — and a "Create new task…" link that opens a full inline task builder (name, description, response type, multiple-choice options, photo required / camera only, expected minutes) ending in Create and add.
  • Notes — type, dictate, or tap Add Message to insert a saved note template; a Save as Template link appears under any note you've written so a good write-up becomes reusable. Anyone can create note templates.

Fill the form by voice

  1. 1Tap the "Fill out by voice" card at the top of the Complete Job screen (available to all companies).
  2. 2Describe the visit out loud — tasks done, readings, chemicals added, anything notable ("skimmed, brushed, pH 7.6, added two tabs…") — then tap Done.
  3. 3The AI fills in the checklist, chemistry values, chemicals used, and notes. It only fills empty fields — it never overwrites anything you already entered by hand — and anything it can't match goes into the notes.
  4. 4Review the form, then scroll to the bottom and tap Mark Complete.
  • Voice fill needs an internet connection — the card shows "Unavailable offline" without one.
  • The Notes section also has a Dictate button: tap to record, tap again to stop, and the plain transcription is appended to your notes with no AI interpretation. It's hidden while offline.
  • Every recording — voice fill and notes dictation — is saved with the completion, audio plus transcript. Admins can listen to the audio and read the transcripts in a "Voice Recordings" section on the completion's detail page on the web dashboard (Completed Stops → open a completion).

Why is a section missing from my screen?

Companies control which completion sections technicians see. On the web dashboard (Technician App Settings page — Technician App in the sidebar), admins can hide End-of-Job Photos, Chemicals Used, Parts Used, the LSI Gauge, Tasks Performed (Not Listed), and the Tap Water Reference company-wide, and can turn off Pre-fill Chemistry From Last Visit so chemistry readings start blank instead of seeding from the previous visit. If one of the sections in this article isn't on your screen, your company turned it off — everything defaults to visible. Per-task photos required by task templates always show.

Editing a completed visit

Typo in a reading? Open the completion (from the Stops tab's Done list, or a job's completion history) and tap the pencil in the Completion Details header. The whole report opens for editing in the Compact layout — tasks, chemistry, chemicals, parts, photos, and notes.

  • Who can edit: the technician who completed the visit can always edit their own report; anyone else needs the jobs-update permission.
  • Once the visit is invoiced, it locks for everyone — the pencil disappears and no edits are possible.
  • A "Reason for changes" field (optional) records why you're editing — "e.g. Corrected pH reading entered in error" — into the report's history.
  • A "Notify customer of changes" toggle (off by default) emails the customer a summary of what changed; they already got the original report.
  • Every edit lands in the Edit History section at the bottom of Completion Details: who, when, a summary of what changed, the reason in quotes, and a "Customer notified" badge when an email went out.

Admins and owners also see a Pricing section on Completion Details (service rate, chemicals, visit total, and the invoice status badge) and, with the alerts permission, an Alerts on This Visit section linking any technician alerts raised at this stop.

Share your work

After you submit, a "Stop Complete!" prompt asks: "Nice work. Want to share this one?" Tap Share Your Work to build a branded card from the visit:

  1. 1Choose Your TemplateBefore & After ("Show the transformation. Perfect for green-to-cleans.") or Photo Showcase ("1-4 photos of your best work. Great for weekly service.").
  2. 2Pick photos — from your camera, gallery, or the From This Job strip of the photos you just took.
  3. 3Preview the card, flip between Dark and Light styles, and tap Share Your Work — the app renders a PNG with your company logo, brand color, and the job's city, and hands it to your phone's share sheet for Instagram, Facebook, texts, anywhere.
  • Not into it? Tap Skip, or "Don't show this again" to silence the prompt — which flips the Share Prompt toggle in Account, where you can turn it back on.
  • You can build a card from any past visit too: the share icon in the Completion Details header uses that completion's saved photos.

Frequently asked questions

Does the app tell me how much chemical to add?

No — automatic chemical dosing recommendations are not currently available. The pool's volume is shown on-screen to help you dose, and you record the chemicals you added manually.

If I skip an every-4-weeks task, is it lost?

No. The interval runs from the last actual completion, not the calendar. A skipped task stays due and reappears on every following visit until someone checks it off — only then does the 4-week countdown restart.

Why does this visit's chemistry pre-fill with numbers from the spa (or the pool)?

Both jobs at that address are pointing at the same body of water, so they share one reading history. Tap the body-of-water chip at the top of the chemistry section, add the missing body if there's only one on file, and point each job's reading at its own body — the histories separate from then on.

Will voice fill overwrite readings I already typed in?

No. Voice fill only fills empty fields and never overwrites manual entries. Anything it can't map goes into the notes, and you review the whole form before submitting.

Can my manager hear what I recorded?

Yes — voice fill and dictation recordings are saved with the completion, audio plus transcript, and admins can review them in the Voice Recordings section of the completion's detail page on the web dashboard.

Can I fix a completed visit after submitting it?

Yes — open the completion and tap the pencil. You can edit your own reports; editing someone else's needs the jobs-update permission. Every edit is logged in the Edit History with an optional reason, and once the visit has been invoiced it locks for everyone.

Does the test-strip scan replace testing by hand?

It replaces the typing, not the testing. Dip the strip as usual, photograph it, and tap Scan for Values — the AI fills the readings, flags low-confidence scans for review, and saves the strip photo with the reading. You can always adjust any value before saving.
