Reconcile bank deposits

Match every Stripe deposit in your bank account to the customer payments inside it — per-customer breakdown with invoice links, fees itemized, and a CSV export for your bookkeeper.

From lump-sum deposit to customer-by-customer detail

Stripe sends your card and ACH payments to your bank as batched deposits (Stripe calls them payouts) — your bank statement just shows a lump sum. The Deposits section of the Billing page breaks each deposit down into the individual customer payments inside it, so you can reconcile your bank statement without digging through Stripe.

Where to find it

  • Open Billing → Payments in the sidebar (or search "Payments & Deposits" in the cmd+K palette). Once your Stripe account is connected, a Deposits card appears below your account details.
  • Each row is one deposit: the date it arrived (or is due to arrive) at your bank, whether it was an automatic or manual payout, a status chip, and the amount.
  • Status chips: Deposited (the money is in your bank), Pending / In transit (Stripe has batched it and it is on the way), Failed or Canceled (it never arrived — check your bank details in Stripe).
  • Load more deposits at the bottom pages further back in time.
  • Viewing Deposits requires the "View invoices" permission — the same billing visibility as the Invoices page. Owners, Administrators, Office Managers, and Bookkeepers have it by default; field technicians do not.

The customer-by-customer breakdown

Click a deposit to expand it. Each payment that funded the deposit appears as a row with:

  • Date — when the customer paid.
  • Customer — who paid. Matched automatically from your payment records.
  • Invoice — the invoice number, linked straight to the invoice so you can open it in one click.
  • TypePayment (an invoice payment), Tip, Refund (money returned to a customer, shown negative), or Adjustment (anything else Stripe nets into the deposit, such as dispute fees).
  • Gross / Fee / Net — what the customer paid, the Stripe processing fee on that payment, and what actually reached your bank from it.

A Total deposited line at the bottom sums the gross, fees, and net — the net matches the deposit amount on your bank statement.

This is why a deposit never equals the sum of your invoice totals: Stripe subtracts its processing fees from each payment and nets any refunds against the batch before sending the remainder to your bank. The Gross / Fee / Net columns show exactly where every cent went.

The occasional row may show without a customer name — for example an adjustment, a dispute, or a payment made outside Pool Founder directly through your Stripe account. Those rows show Stripe's own description instead so nothing in the deposit is hidden.

Export for your bookkeeper

With a deposit expanded, click Export CSV to download the breakdown — Date, Customer, Invoice, Type, Gross, Fee, Net, plus the totals row — named by the deposit date. Hand it to your bookkeeper or import it into your accounting software to book the deposit with fees split out.

If you sync with QuickBooks, payments already flow to QuickBooks per invoice — the CSV is for reconciling the bank deposit itself (many bookkeepers book the lump sum against a clearing account and use the breakdown to split fees).

Frequently asked questions

Stripe only shows me a lump sum — how do I see which customers are in a deposit?

Open the Billing page and find the Deposits section. Click any deposit to expand its customer-by-customer breakdown: every payment inside it with the customer, the invoice (linked), and the gross, fee, and net amounts.

Why doesn't the deposit match my invoice totals?

Stripe deducts its processing fee from each payment and nets refunds against the batch before depositing the remainder. The breakdown's Gross / Fee / Net columns and the Total deposited row show the exact math — the net total equals what hit your bank.

Can I export a deposit breakdown for my accountant?

Yes — expand the deposit and click Export CSV. The file lists every payment with customer, invoice number, type, gross, fee, and net, plus a totals row.

Who on my team can see Deposits?

Anyone with the "View invoices" permission — Owners, Administrators, Office Managers, and Bookkeepers by default. Field technicians don't have billing visibility.
