Your Checklist, on the Right Schedule
Not every task belongs on every visit. You brush and skim weekly, but the filter gets a deep clean every few weeks and the salt cell only needs a look once a month. Until now, keeping track of what was due on which visit meant a technician holding a mental calendar.
Pool Founder now lets you put each task on its own schedule and tracks completion for you. Filter cleans weekly, brush the walls every visit, deep-clean the filter every 3 weeks, and the checklist surfaces the right items on the right stop without anyone counting visits.
Tasks That Repeat Every Few Weeks
Any task on a job can run every visit or on a longer interval: every 2, 3, 4, 6, 8, or 12 weeks. Set the interval on the task template so it applies as a default everywhere that task is used, or adjust it on an individual job.
The schedule tracks completion, not the calendar. The countdown runs from the last time the task was actually checked off. If a technician skips a task that is due, it stays due and reappears on every following visit until it gets done, then the countdown restarts. On weeks when a task is not due, it still shows on the checklist, greyed out and labeled Not due this visit, so nothing quietly disappears.
The desktop job view shows a frequency badge and the last completed date next to each task, so you can see at a glance where every recurring item stands.
Because the interval is tied to actual completion rather than a fixed date, a task due every 3 weeks carries forward and stays flagged until a technician does it, which keeps the schedule honest even when routes shift around.
Add or Change a Task on a Single Stop
Sometimes one pool needs something the standard checklist does not cover: an extra acid wash this week or a one-off filter clean. From a route's day view, open a stop's Tasks action to bring up the Tasks for this stop dialog.
You pick how far the change reaches:
- Just today adds the task to that one visit only. It does not touch the job's regular checklist.
- Every visit adds the task to the job's recurring checklist going forward, so it shows up on future stops too.
The same dialog lets you flip individual tasks between required and optional for that stop. Admins can make the same changes from the mobile app while out running a route, choosing the scope right there in the field. Any technician can also tack on a task they performed from the completion screen, added just for that one visit.
Find Jobs by What Is on Their Checklist
The jobs list can now filter by task. Open Filters, add a row under Tasks, and choose whether a job Has or is Missing a given task template. Stack multiple rows to narrow further; every row has to match.
That answers questions that used to mean scrolling job by job: which accounts are missing the salt-cell inspection you just standardized, or which jobs include the tile-brush task. Active filters appear as chips in the header that you can dismiss when you are done.
Mark Which Tasks Matter Most
When you build a checklist on a maintenance job, work order, or quote, each task has a Required / Optional toggle. Marking a task required flags it as a task the technician should prioritize on the visit, so the items that matter stand out from the routine ones.
Task groups remember the setting. Pre-configure which tasks in a group are required, and applying that group to a job carries the flag through automatically. You set it once on the group instead of resetting it job by job.

Can a task run every few weeks instead of every visit?
Yes. Each task can be set to Every visit or to a longer interval: every 2, 3, 4, 6, 8, or 12 weeks. Set the interval on the task template to use it as a default, or adjust it on an individual job. The countdown runs from the last time the task was actually completed, not from the calendar.
What happens if a technician skips a task that is due?
It stays due. A skipped task reappears on every following visit until a technician completes it, and only then does the countdown restart. On weeks when a task is not due yet, it still shows on the checklist greyed out and labeled Not due this visit, so it is never hidden.
Can I add a task to just one visit without changing the job?
Yes. Open the Tasks action on the stop from the route day view and choose the Just today scope. The task is added to that single visit only. Choose Every visit instead if you want it on the job's recurring checklist going forward.
How do I find jobs that are missing a task?
On the jobs list, open Filters, add a row under Tasks, set it to Missing, and pick the task template. You can combine several rows, and all of them must match, so you can pinpoint exactly which accounts still need a task added.
