Add the Charge Once, Bill It Automatically
Plenty of maintenance accounts carry more than a base service rate. A flat monthly chemical fee. A rental on the filter or a pump. A standing add-on the customer agreed to. Until now, that meant remembering to add the same line to every invoice by hand. Pool Founder now lets you attach recurring line items to a maintenance job so those charges appear on the invoice automatically, every billing period, without anyone touching them.
Set it up once on the job and it bills alongside the base rate on the job's own schedule. No standing reminder, no line item that quietly gets forgotten the one month it matters.
One Setup, Every Invoice
Open a maintenance job and find the Recurring charges section. Click Add recurring charge, give it a name (for example, "Chemical fee"), set the amount, and optionally add details. From then on it rides along with the base rate every time that job bills, shown as its own line on the invoice labeled Recurring so both you and the customer can see exactly what it is.
- Name - what the charge is, in plain language the customer will read on the invoice
- Amount - the flat dollar figure for the charge
- Details - optional context that travels with the line item
- Billed - whether the charge applies per invoice or per completed visit
You can add as many recurring charges as a job needs. Each one is independent, so a single account can carry a monthly chemical program and a piece of rented equipment at the same time, each on its own cadence.
Per Invoice or Per Visit
Each recurring charge is billed one of two ways, and you choose per charge:
- Per invoice - charged once on each invoice, no matter how many visits the period contained. Good for a flat monthly fee or a standing rental.
- Per visit - charged once for every completed visit in the billing period. If the period had four completed visits, the charge appears four times.
Per-visit charges count the visits that actually happened. A month with fewer completed visits bills fewer charges, and a busier month bills more, so what you invoice matches the work that was done.
Set Defaults on Job Templates
If the same charge belongs on a whole class of accounts, put it on the maintenance template instead of adding it job by job. Job templates carry their own Recurring charges section with the same per-invoice and per-visit options.
A template's recurring charges pre-fill onto any new maintenance job you create from that template, so a new account starts correctly billed on day one. When you edit a template, you can also push the changes to jobs already using it with the Apply changes to open jobs option. A template with no recurring charges leaves each job's own charges alone, so pushing a template update never wipes out a charge you set on an individual account.
