Your notifications, your rules
Open Notification Settings by clicking the bell icon in the top bar, then the gear icon in the panel that slides open. Every setting is personal — each person on your team tunes their own notifications — and changes save instantly.
Behind the scenes, every notification has a priority. Low-priority updates always stay in the in-app feed only. Medium-priority events can push to your phone. High-priority and critical events can push, and email you when the push can't reach your phone. The settings below control those channels.
Delivery channels
- Push notifications — sent to your phone through the Pool Founder mobile app for medium-priority events and above.
- Email notifications — delivered to your account email with a link to the details, when a push can't reach your phone: you aren't signed in to the mobile app, push is turned off, it's during your Quiet Hours, or the push fails. If the push gets through, you don't also get the email.
- Only email high-priority events — appears under the email toggle when email is on. Leave it on to keep email for the important stuff; turn it off to also get emails for medium-priority events (more mail).
- Also email me when I get a push — appears under the email toggle when email is on. Off by default. Turn it on if you want an email for every qualifying event even when your phone already got the push.
The five categories
Turn off a category to silence it across every channel, including the in-app feed:

Quiet Hours
Quiet Hours pause push notifications overnight, in your company's timezone. Notifications still land in your in-app feed during the window, and because the push is paused, anything that qualifies for email is emailed to you instead. The first time you enable it, the window defaults to 9pm–7am — and overnight windows that cross midnight work exactly as you'd expect. Adjust the From and Until times to taste.
Daily Digest
The Daily Digest is one morning email summarizing the previous day — completions, skips, payments, and requests. It's sent around 7am, and only on days something actually happened. Turn it on as a calm alternative to per-event emails: pair it with "Only email high-priority events" and you'll get one summary a day plus emails only for things that can't wait.
Defaults for admins vs. technicians
Until someone changes their own settings, sensible defaults apply based on role:
- Owners and administrators — push on, email on (used when a push can't reach your phone), "Only email high-priority events" on, and "Also email me when I get a push" off.
- Technicians — push on, email off. Techs live in the mobile app, so they get pushes but no email by default.
- All five categories start on for everyone; Quiet Hours and the Daily Digest start off.
The Notifications feed
The bell icon in the top bar opens a panel with your recent notifications; click View all for the full history page. There you can filter with category pills (All, Routes, Jobs, Billing, System, AI Front Desk), flip on Unread only, and clear everything with Mark all read.
- Unread notifications show a highlighted background and an amber dot; clicking one marks it read and jumps to the linked record.
- High and critical notifications carry a HIGH or CRITICAL badge.
- Bursts of the same alert (several jobs added to a route, skipped stops, failed autopay charges, QuickBooks sync failures) show in your feed right away as one entry with a ×N count. The push or email waits about two minutes so the whole burst arrives as one. Everything else is sent immediately.
- When several invoices go past due on the same day, you get one Invoices Overdue notification with how many, the total, and the customer names. It opens the Invoices list filtered to Overdue. A single overdue invoice still gets its own Invoice Overdue notification that opens that invoice.
Frequently asked questions
Do these settings affect what my customers receive?
No. This page only controls notifications to you and your team. Customer-facing messages — invoices, service reports, texts — have their own settings on the relevant feature pages.
Why did I stop getting emails for alerts my phone already showed me?
Email is the backup for push. When a push reaches your phone, Pool Founder skips the matching email so you are not alerted twice. You still get the email when the push can't reach you: no mobile app signed in, push turned off, Quiet Hours, or a failed push. If you want both, turn on "Also email me when I get a push" under Email notifications.
A lot of invoices went overdue at once. Will I get an alert for each one?
No. The daily overdue check sends one Invoices Overdue notification covering every invoice that went past due that day, with the count, total, and customer names, and it opens the Invoices list filtered to Overdue. You only get a per-invoice alert when a single invoice goes overdue.
Will Quiet Hours make me miss anything?
No — quiet hours only pause pushes. Everything still lands in your in-app feed, and anything that qualifies for email is emailed to you instead of pushed, so it's all waiting for you in the morning.
Can I silence one category everywhere?
Yes. Turning a category off silences it across every channel, including the in-app feed. The other four categories are unaffected.
