There are no setup or onboarding fees, it is month to month, and the 30-day trial requires a card. Pool Founder charges by technician: $49 for one, $99 for up to three, $179 for up to six, $249 for up to ten. Office-only staff are free, two-way QuickBooks Online sync is included, and there are no setup fees either. AI, the phone, and texting
We found no AI features on Pool Office Manager's website when we checked on October 9, 2026. On Pool Founder, AI is part of every plan, and it does real work:
- A phone assistant answers 24/7. It recognizes customers and returning leads by caller ID, tells them their next visit, balance and recent visit history, takes new leads, flags urgent messages, and gives you a transcript of every call. It never transfers, books or quotes, and only speaks English.
- George, the built-in assistant, prepares changes you ask for (a new customer, moved stops, routes rebuilt when a tech goes part-time, a spreadsheet import) on an approval card you tap to approve, with 15-minute undo. He never charges, refunds or moves money.
- Techs fill out a visit by talking through it, or photograph a test strip and the app fills in the readings.
Texting works differently too. POM's texting starts at $10/month plus usage. Pool Founder has no per-message fees: on-the-way and invoice-ready texts work on every plan, and two-way texting with customers comes with the optional $25/month business line. Calls and texts land in one inbox, with AI-drafted replies and saved replies.
Chemistry and the truck
Both platforms take chemistry seriously. POM has a chemical calculator with automatic dosing. Pool Founder calculates LSI automatically on every visit and recommends each dose in your own products, scaled to the pool's volume and the product's strength. It's checked against Orenda's calculator and works offline. After every visit, Pool Founder also checks for chemistry out of range, filter pressure more than 10 psi over baseline, unusual time on the job and abnormal chemical use, and sends anything off to one alerts queue for the office.
Pool Founder's tech app opens and works with no signal: the route, checklists, photos and water chemistry save and sync when you're back in range. Starting or finishing a route and creating new records need a signal. Techs with permission can create, send and charge invoices from the truck, send quotes, and order from Heritage Pool Supply.
Billing and getting paid
POM runs payments through Stripe at standard rates (elsewhere on its site it quotes 2.9% with its preferred vendor), and its customer portal and autopay run through Biller Genie, a third party. QuickBooks is two-way with Online and there's an export for QuickBooks Desktop.
Pool Founder's portal and autopay are built in. Customers sign in with an email code, see what you choose to show them, pay, set up autopay, accept quotes and sign documents. Billing fits how pool contracts work: per visit, or flat monthly or weekly through rainouts, recurring line items, consolidated invoices for an HOA's pools, and failed autopay retried at 24 hours, 72 hours and 7 days with reminder presets for late invoices. Customers can pay by card, ACH (no fee to them) or Zelle. Card fees are your call per invoice, per job or per service, with debit and ACH never surcharged and state rules handled for you.
On the business side, Pool Founder calculates tech pay (per stop, hourly, both, or commission), keeps scorecards, exports payroll to ADP or Gusto, and shows profitability by route, tech and customer. Route Fit prices new leads from real drive time and labor. We found no payroll or tech-pay tools on POM's site.
What Pool Office Manager genuinely does well
Inventory is the standout. POM tracks stock by warehouse or by vehicle, scans barcodes, and deducts stock automatically when a job is completed. Pool Founder tracks chemicals and parts with stock counts, restocks and low-stock alerts, but not by truck. If per-truck inventory is your deciding feature, POM wins it.
POM also has a QuickBooks Desktop export (Pool Founder works with QuickBooks Online only), video storage, quotes that flow from e-signature to job to invoice, no setup fees, and a long track record in the pool industry.
