Fix a Mistake Without Losing the Record
Everyone fat-fingers a reading now and then. A chlorine value typed as 30 instead of 3.0, a task marked done that was not, a note meant for a different pool. Until now, a completed visit was final. Pool Founder now lets a technician reopen a completed job from the mobile app, correct what is wrong, and every change is tracked automatically.
The fix takes seconds, the record stays honest, and the office can see exactly what changed and who changed it.
Edit a Completed Visit From the App
From a completed job in the technician app, tap the edit button to reopen the visit in the same completion flow used to finish it. Everything already logged is pre-filled, so the technician just adjusts what is wrong and saves. You can update:
- Technician notes
- Task responses
- Water chemistry readings
- Chemicals used
- Parts used
- Photos (add or remove)
Once a visit has been invoiced it is locked and can no longer be edited, so the billed work and the recorded work never fall out of sync. Corrections happen before you invoice.
The technician who completed the visit can always edit their own report. Anyone else needs the jobs:update permission, so office staff and managers with that permission can make corrections too.
Optionally Send the Customer an Updated Report
On the review step of an edit there is a Notify customer of changes toggle. It is off by default, because the customer already received the original service report. Turn it on and Pool Founder emails an updated report showing only what changed: tasks, notes, water chemistry, chemicals, and photos.
That email goes to the same people who receive your regular service reports and respects each contact’s notification preferences. Anyone who has opted out of service report emails will not receive it, and if nothing meaningful changed, no email is sent at all.
Leaving the toggle off is the common case. Most edits are small internal corrections that do not need to reach the customer at all, so notifying them is a deliberate choice, not the default.
See Every Edit in the Dashboard
Back in the office, open the completed job in your dashboard and you will find an Edit History section. Every edit is listed newest first, with a clear breakdown of what happened.
- Who made the edit and when
- Whether it came from the mobile app or the web
- An optional reason for the change
- A "Customer notified" badge when the customer was emailed
- A field-by-field old to new breakdown of notes, tasks, water chemistry, chemicals, and photo counts
The editor’s name always resolves, even on older entries, so you never see a blank author. The same history is available on the technician app’s completion screen, which means the field and the office are always looking at the same record.
Why an Audit Trail Matters
Your completion records back up your invoices, your service reports, and, if it ever comes to it, your side of a dispute. A record you cannot correct is a record you cannot trust. Technicians work around it with side notes and texts, and the truth ends up scattered across three places.
A record that tracks every correction stays both accurate and credible. You get the flexibility to fix a genuine mistake without giving up the paper trail that makes the record worth having in the first place.

Can a technician edit a job after it has been invoiced?
No. Once a completion is tied to an invoice it is locked, and editing is blocked for everyone. This keeps the billed work and the recorded work in sync. Make any corrections before you invoice.
Who is allowed to edit a completed visit?
The technician who completed it can always edit their own report. Anyone else needs the jobs:update permission, which means office staff and managers with that permission can make corrections too.
Does editing a visit automatically email the customer?
No. The "Notify customer of changes" toggle is off by default. Only when a technician turns it on does Pool Founder send an updated service report, and only to contacts who have not opted out of service report emails. If nothing meaningful changed, no email goes out.
Where can I see what changed?
On the completed job in your dashboard, in the Edit History section. It lists every edit with the editor’s name, the time, whether it came from the app or the web, and a field-by-field breakdown of the old and new values. The same history is available on the technician app.
