Stop Sending Quotes Over Text

We are launching Quotes in Pool Founder, a complete system for creating, sending, and tracking professional estimates. Instead of texting a price or emailing a rough number, you can now build a detailed quote with line items, discounts, photos, and a customer message, then send it as a polished email that customers can approve or decline with one click.

Everything is tracked. You can see which quotes are pending, which were approved, and which were declined. Approved quotes can be converted to work orders. The entire lifecycle lives in Pool Founder so nothing gets lost in a text thread.

Quotes are available now on all plans. Navigate to Quotes in your sidebar to create your first one.

Build Detailed Quotes in Minutes

The quote builder walks you through creating a professional estimate step by step. Select the customer and service location, add line items with descriptions and prices, apply discounts, attach photos, write a customer-facing message, and preview the email before sending.

What You Can Include in a Quote

  • Line items with descriptions, quantities, and prices.
  • Task templates to pull in pre-built task lists for common service types like green-to-cleans, filter replacements, or equipment upgrades.
  • Flat and percentage discounts with descriptions so customers understand the pricing.
  • Photo attachments to show customers exactly what you are quoting, such as cracked tiles, worn equipment, or algae buildup.
  • Customer message to add context, explain the scope, or note any conditions.
  • Included chemicals for maintenance quotes where chemicals are part of the monthly rate.
  • Internal notes visible only to your team.

Discounts That Make Sense

You can add discounts directly to any quote. This is useful for seasonal promotions, multi-service bundles, loyalty pricing, or negotiated rates without manually adjusting line item prices.

TypeHow It WorksExample
Flat DiscountSubtracts a fixed dollar amount from the subtotal$50 off a filter replacement quote
Percentage DiscountCalculates and subtracts a percentage of the subtotal10% off a full equipment upgrade

Add multiple discounts to a single quote. Each one includes a description field so the customer sees why the discount is being applied, such as "Multi-service bundle" or "Loyalty discount." The quote total updates in real time as you adjust.

Task Templates for Consistent Quoting

If you frequently quote the same types of work, you can pull in task templates directly into your quotes. Instead of typing out the same line items every time, select from your existing task templates and the tasks are added automatically.

This keeps your quotes consistent across your team. Every technician quoting a "Green-to-Clean" includes the same tasks in the same order. Create and manage task templates under Settings > Task Templates.

You can mix template tasks with custom one-off tasks on the same quote, and reorder everything by dragging tasks into your preferred sequence.

Photos That Close Deals

Attach photos directly to quotes so customers can see exactly what you are referencing. This is especially valuable for repair estimates and equipment replacements where visual context helps the customer understand the scope and urgency.

  • Attach multiple photos per quote.
  • Photos appear when the customer views the quote in the portal.
  • Document cracked tiles, worn equipment, algae buildup, or any condition that justifies the quoted work.
  • Customers can review photos alongside the quote details when deciding whether to approve.

Pool service companies that include photos with their estimates report higher approval rates because customers can see the problem for themselves rather than relying on a text description.

Preview Before You Send

The quote builder includes an email preview that shows you the fully rendered email, including your company branding, line items, discounts, the customer message, and the approval button, before you send it. This catches formatting issues, typos, and missing information before the email reaches the customer.

Customers Approve from the Portal

When you send a quote, the customer receives a branded email with a link to view the full details. In the customer portal, they can review every line item, see attached photos, and approve or decline the quote with optional response notes.

You are notified when a customer responds. Approved quotes can be converted into work orders. Declined quotes show the customer's notes so you can follow up. The entire history is tracked and visible from the Quotes page in your dashboard.

Track Every Quote from One Page

The Quotes page in your dashboard shows all quotes across statuses: draft, sent, approved, declined, and expired. Filter and search to find what you need. Click into any quote to see the full details, customer response, and history.

You can also edit and resend quotes. If a customer declines and you want to adjust the pricing or scope, update the quote and send a revised version.
