One place for a technician who is out
When a technician calls out sick or books a vacation, add it under Team → Time off. Every day in the range shows as off on the Route Schedule, those days are excused on attendance (they never count as a no-show), and you choose where their stops go, and nothing moves until you say so.
Time off is entered by the office. Technicians can't call out or ask for time off from the mobile app yet.
Add time off
- 1Open Team → Time off (or search "time off" with ⌘K) and click Add time off.
- 2Pick the Technician, the First day off and the Last day off. The Today and Tomorrow buttons fill both dates for a one-day call-out. One entry can cover up to 31 days.
- 3Pick a Reason (Sick, Vacation, Personal or Other), add a note if you like, and click Mark off.
- 4The Cover stops preview opens right away (see below). Click Not now to move the stops later; the time off is saved either way.
From Team → Today (when the labor tools are on), each route that hasn't started has an Out today button that opens the same form with that technician and today filled in.
A technician can only have one time off on any date. For other dates, click Remove on the entry and add it again. Remove puts those days back to their usual hours, with an Undo on the message; stops that were already moved stay where they went.
Cover their stops
Cover stops (on the entry, or right after adding it) shows where every stop on their days off would go, a week at a time from today:
- Who takes them: each technician and day that gets stops, how many, when that day would now finish (and when it finished without them), and whether it still Ends on time or runs over (in amber, with the minutes).
- One list per day off, each stop with where it goes. Send any stop somewhere else with its dropdown: the best few technicians and days are offered, and recurring visits can be set to Skip this visit. The finish times update as you pick.
- Stops are sent to the technician and day with the most room and the least extra driving, keeping neighbors (a street, a community) together, and following each job's preferred technicians and days. A day of theirs after they're back can be picked too. When nobody has room, a stop still goes to the closest fit and that day shows as running over: it's rescheduled, not dropped.
- Stops already started or finished, and project shifts, stay on their day.
Leave Text customers whose visit moves to another day on (the default) to text each of those customers their new visit day, in your Visit reminder wording. It follows the Visit reminder switch (Messages → Phone → Automated texts) and each customer's own text preferences, and they won't get a second reminder for the same day. A stop moved to another technician on the same day sends no text. There is no email for moved visits.
Click Move to move them. Only those dates change: weekly routes stay as they are, so the technician is back on their own route when they return. Moves can't be undone in one click; move a stop back from its route page if needed. If the time off is longer than a week, cover it again from the Time off page for the next week (the entry shows how many stops are still on their days).
Skipped visits are flagged
Every visit you skip while covering time off goes on the To-do list (visits skipped while a tech was off) for a month, with how that customer is billed: a per-visit customer simply isn't billed for it, while a monthly or weekly flat-rate customer is still billed, so you can decide whether to credit them. Dismiss each one once you've checked it.
Frequently asked questions
My tech called in sick this morning. What do I do?
Go to Team → Time off → Add time off, pick them, click Today, choose Sick and click Mark off. The Cover stops preview opens: check who takes the stops and when each day now ends, then click Move. Or click Out today on their row in Team → Today.
Can a technician ask for time off or call out from the app?
Not yet. Time off is added by the office, by anyone who can change technicians' schedules (edit employees, edit routes or use the Route Planner). Moving the stops needs permission to transfer routes.
Does time off count against attendance?
No. Any day a technician is marked off (time off, or Off on the Route Schedule) shows as Excused on attendance and scorecards.
Will the stops come back to them when they return?
Yes. Covering moves only the visits on the days they are off. Their weekly routes never change.
