Rate card

Set your own pricing rules once (base price by pool size, what salt, a spa, the filter type or your own questions add, how often, plans, a commercial multiplier, a discount) and price every new lead in one click from the lead page.

Your prices, applied to every lead

The rate card is how you price a new pool, written down once: a base price by pool size, what extras add or take off, how much more or less other frequencies cost, and your plans. Every lead then gets a Price card that prices the pool your way, with the math one click away.

Prices are for you only. Nothing on the rate card or the Price card is sent to the lead, and Pool Founder does not suggest prices from other companies: the numbers are yours, because pool service prices vary too much from one area to the next.

It sits alongside Route Fit, which works the other way round: Route Fit adds up what a visit costs you (labor, driving, chemicals) and marks it up to your target margin. The rate card is what you charge. Use both: if your rate card price is below Route Fit's break-even, the visit loses money.

Set up your rate card

Go to Settings → Account (the page titled Account Settings) and scroll to the Rate card card, under Pricing. A lead without prices shows a Set up your rate card button that takes you straight there. Changing it requires the "Change company pricing settings" permission; everyone else sees it read-only.

  1. 1Price pools: choose Per month (a monthly price for weekly service) or Per visit. Every amount on the card is in that unit. Leads always show both: the monthly total and the price per visit.
  2. 2Base price by pool size: a price for every size tier, e.g. up to 10,000 gal, up to 20,000 gal, and bigger. Add a size tier splits the biggest one. A pool whose size isn't known is priced at the first tier, and the Price card says so.
  3. 3What changes the price: every question adds an amount If yes (or, for a multiple-choice question, per option). Use a minus amount for things that make a pool quicker, like a screen enclosure. Turn a question off to stop asking it. Five questions are built in: Salt system, Spa or hot tub, Fountain or water feature, Automatic pool cleaner and Filter type (Cartridge, Sand, DE, Quad DE). Add your own with Add a yes/no question (screened in, dense trees, a waterfall…) or Add a multiple-choice question.
  4. 4How often: switch on the frequencies you offer (Weekly, Every other week, Twice a week, 3 times a week, Monthly) and set every one as a multiple of weekly. The line next to it says what the multiple means in plain words.
  5. 5Plans: every lead is priced for every plan. A plan's Add-on is a flat amount on top, e.g. $29 for a premium plan that includes filter cleans. Tick Discount applies if your discount should cover the add-on too.
  6. 6Discounts and rounding: Commercial multiplier (commercial accounts cost this many times the residential price), Discount (%), Average depth (ft) for working out gallons from a pool's length and width, First month free, and Round to whole dollars.
  7. 7Click Save rate card. If something is wrong (tiers out of order, no plan, a frequency multiplier of 0) the problem shows next to the button and saving waits until it's fixed.

While you edit, Try a pool on the right prices a sample pool with your unsaved changes, exactly the way a lead will be priced. Change its gallons, frequency and answers to check your numbers before you save.

Frequency multiples work differently per unit. On a monthly card, every other week costs less per month (about 65% of weekly). On a per-visit card it costs more per visit (about 130%), because there's more to clean after two weeks. When you switch units, multiples you haven't changed switch to the sensible default for the new unit.

How a price is worked out

Always in the same order, so the result is predictable:

  1. 1The base price for the pool's size tier.
  2. 2Plus (or minus) every answer's amount.
  3. 3Times the frequency multiple.
  4. 4Times the commercial multiplier, for a commercial account.
  5. 5Minus the discount.
  6. 6Plus the plan's add-on (discounted only when the plan says so). Add-ons are never multiplied by the frequency or commercial multiples.
  7. 7Rounded to whole dollars, if you chose that.

The other unit comes from the visits in an average month: weekly is 52 ÷ 12 = 4.33 visits, every other week 2.17, twice a week 8.67, three times a week 13, monthly 1. So twice a week doubles the visits; it doesn't double the per-visit price. With First month free on, the breakdown also shows the effective monthly price over the first year (11 months charged out of 12). It is information only; the plan price stays the same.

Price a lead

Open a lead from Leads. The Price card ("from your rate card") sits under the lead's pools, above Route Fit. It shows on new leads that aren't converted or archived, and not on a request from an existing customer.

  • Answers start from the lead's pool details where they show them: the pool's Gallons, Salt system (when the sanitizer is a salt water generator), a Spa or hot tub or Fountain on the lead, an Automatic pool cleaner in the equipment, and the Filter type when the filter's name or model says cartridge, sand, DE or quad. Those answers are marked "from pool details". Anything else, you answer.
  • Don't know the gallons? Click From size next to Gallons, pick the shape (Rectangle, Round, Oval or kidney), enter the length and width (or radius) and the average depth, and click Use.
  • Pick How often (only the frequencies your rate card offers) and Account: Residential or Commercial.
  • Each plan's price updates as you change answers. Click a plan's name to see every step of the math.
  • Click Save price to keep it on the lead. The card then reads "Saved Oct 21: …" with every plan's price. Saving requires the "Manage website leads" permission.

A saved price never changes by itself. If you change your rate card later, the lead keeps the price it was given and says "Your rate card changed since this lead was priced. Save to re-price."

On the phone

In the mobile app, open the lead from Leads and scroll to Price ("from your rate card"), under the lead's bodies of water. It works like the web card: Gallons, How often and Account as buttons, a switch for every yes/no question, and every plan's price; tap a plan to see the math, and tap Save price to keep it on the lead. The rate card itself is set up on the web. To quote from the phone, use the Quote tab of the lead's Convert to Customer card and enter the price there.

Turn a price into a quote

Every plan has a Quote button. The lead is added as a customer with their address and pools (if they aren't one yet), then the quote form opens as a maintenance quote named after the plan and frequency (e.g. "Complete Care, weekly"), with the rate filled in: the monthly price billed monthly on a per-month card, or the per-visit price billed per visit on a per-visit card. Review it and send it as usual (see Quotes). The button shows for people who can make quotes, customers and service locations.

Ask George

George reads your rate card. Ask "what would a 15,000 gallon salt pool with a spa cost weekly?" and he prices it with your card, or "price this lead" on a lead to save its price (with an approval card, like any change). He can also change the rate card for you, e.g. "add $10 for DE filters", after you approve it.

Frequently asked questions

Why is the rate card price different from Route Fit's suggested rate?

They answer different questions. Route Fit works out what a visit costs you (time on site, driving to this stop, chemicals) and adds your target margin, so it moves with the route you pick. The rate card is the price list you set for the market you work in, whatever the route. When the rate card price is below Route Fit's break-even, that pool loses money at your prices; when it is far above Route Fit's suggestion, you have room to win the job on price.

What if the lead has a pool and a spa?

The rate card prices the largest pool on the lead by its gallons, and the Spa or hot tub question (answered yes automatically when a spa or hot tub is on the lead) adds your spa amount. A second pool on the same property is not priced separately; add a custom question such as "Second pool" with its own amount if you see that often.

Does the lead see the price?

No. The rate card and the Price card are for you only; nothing is texted or emailed to the lead. The price reaches a customer only when you send them a quote.

Can Pool Founder suggest prices for my area?

No. Pool service prices vary too much by location, and Pool Founder does not use other companies' prices. The rate card starts with no prices and you set your own. Route Fit's suggested rate (from your own costs and target margin) is a good check that your prices cover your costs.

Can I price per visit instead of per month?

Yes. Choose Per visit under Price pools at the top of the rate card. Every amount on the card is then a per-visit price, and leads show the per-visit price first with the monthly total under it.

Can I have different rate cards for different areas or for commercial pools?

Not yet: there is one rate card per company. Commercial accounts use the Commercial multiplier on the same card.

Can I send prospects a form that prices their pool?

Not yet. Today the rate card prices leads for you, on the lead page in the web dashboard and the mobile app. A public quote request form is planned.

Does changing my rate card change what my customers are charged?

No. The rate card prices new leads only. It never changes a customer's rate, a job, a quote or a price already saved on a lead.
