Merge duplicate customers

Combine two or more customer records for the same person into one: what moves to the customer you keep, what stays behind, and how saved cards and QuickBooks links are handled.

One person, one customer

Duplicates happen. A QuickBooks import brings a customer in and someone adds the same person again by hand, or a customer gets entered twice with different spellings. Merging combines those records into one customer, so their pool locations, visit history, invoices, and quotes all live in one place.

Merge customers

Select the records with the checkboxes in the Customers table and click Merge Selected in the floating bar. The button appears when 2 to 10 customers are selected, for roles with the Merge duplicate customers permission (Owners, Administrators, and Office Managers by default).

  1. 1The dialog lists each record with what it holds: pool locations, jobs, visits, invoices, quotes, projects, saved cards, and whether it is linked to QuickBooks.
  2. 2Choose the customer to keep. The record with the most history is picked for you.
  3. 3Click Merge customers. You land on the kept customer's page.

What moves and what stays

  • Pool locations, jobs, visits, invoices, quotes, projects, service requests, texts, calls, and notes from the other records move onto the kept customer.
  • The kept customer's own name, email, and phone stay. Blank details (phone, email, billing address, notes) are filled in from the other records, and their emails are added as additional emails, so nobody stops getting invoices or service reports.
  • The other records are archived and show Merged into another customer with an Open merged customer link.
  • Saved cards move only when the kept customer has none. If it already has a card on file, the other record's cards stay behind, and the dialog tells you before you merge.
  • The QuickBooks link moves only when the kept customer isn't linked yet. If the records are linked to two different QuickBooks customers, the kept one stays linked to its own, and the dialog tells you to merge the two inside QuickBooks.

Merging can't be undone. Check which record you're keeping before you click Merge customers.

Frequently asked questions

Can I undo a merge?

No. There is no unmerge. The merged records stay archived with an Open merged customer link to the customer you kept, so check which record you're keeping before you merge.

Does merging combine the customers in QuickBooks too?

No. Pool Founder can't merge QuickBooks customers. If only one of the records was linked to QuickBooks, the kept customer takes that link. If they were linked to two different QuickBooks customers, the kept customer keeps its own link, and you merge the two customers inside QuickBooks so their history is together there.

Why didn't a saved card move to the customer I kept?

A saved card belongs to one Stripe customer, so cards only move when the customer you keep has no card on file. Otherwise the other record's cards stay with the archived record. Ask the customer to add their card again if they want to use it.

Who can merge customers?

Roles with the Merge duplicate customers permission. Owners, Administrators, and Office Managers have it by default; the built-in Technician role does not.
