Fix a job without going back to the office
A customer asks for a new billing day, or a rate needs to change: you can edit the job from the phone. Open the job's Job Details (tap View on a stop, or open the job from a customer or service location) and use the Job setup section right below the details card. It edits the same job the web job page shows, with the same rules.
Who can edit jobs
Job setup only appears for people with the "Edit jobs" permission. Owner, Administrator, and Office Manager have it by default. The built-in Technician role does not, so regular techs see Job Details without Job setup. To let techs edit jobs, add "Edit jobs" to their role under roles and permissions.
Saving needs an internet connection. The same permission controls the Edit button on the Tasks section, which opens Manage Tasks (see work orders and job details in the field).
What you can change
Tap a row to open its editor, make the change, then tap Save in the top right (or Cancel).
- Job name and Time at stop (minutes).
- Service report: turn the post-visit email on or off, choose the sections (Tasks, Chemicals, Parts, Water chemistry, Photos, Notes), and set an intro message.
- Line items (work orders, under Pricing): the row shows the total the customer pays and what makes it up, e.g. "2 line items, includes $15.94 tax". Tap it to change descriptions and prices, remove lines, Add Line Item, or Add from catalog (a part or chemical at quantity × unit price). Each line has a Taxable switch that fills in the company default rate; change the % for that line. The totals show Subtotal, Discounts, the tax row, and Total, and the tax is charged when the work order is invoiced. Saving also needs the "Manage work orders" permission; without it the row is read-only. See catalog parts and taxable line items.
- Preferred schedule (maintenance jobs): preferred days, preferred technicians, and visits per week (1 to 5). These guide scheduling and route suggestions; they don't move the job on a route.
- Rate (maintenance jobs): the per-visit, monthly, or weekly rate. New visits and invoices use it; past visits keep the rate they were completed at.
- Billing (maintenance jobs): when to invoice (Invoice manually, After a number of visits, Monthly on a day from the 1st to the 28th, or Weekly on a weekday), Bill even without service, and for monthly or weekly schedules How the rate is charged: Flat rate or Per visit. - Pass card fees (maintenance jobs): a switch that asks you to confirm before turning it on. In states where surcharging isn't allowed, the row says so and can't be turned on.
- Chemicals (maintenance jobs): Billed separately, All included in the rate, or Specific chemicals included with a per-visit quantity or Unlimited for each.
- Extra charges (maintenance jobs): fixed charges on top of the rate, each with a name, an amount, Each invoice or Each visit, and optional details.
- Suspend service / Resume service: the button under Job setup. Suspending takes an optional reason; new routes skip the job until it's resumed. See skip, suspend, and archive jobs.
Switch between in-app and external billing
- To bill outside the app: open Billing and tap Bill this job outside the app instead, then confirm. The job leaves Upcoming Billing; visits are still tracked.
- To bill in the app: an externally billed job shows Billed outside the app. Tap it to open Bill in the app: pick Per visit or Monthly, enter the rate, then either the billing schedule and Include previous visits (per visit) or the First bill date and Bill ahead (monthly). Tap Switch. Stop billing the customer in your other system so they aren't billed twice.
Jobs that bill ahead can only move their billing day. The sheet warns that the next invoice moves to the new day, so the upcoming period may shift by a few days one time; the monthly amount stays the same.
Rows that are locked, and what's web-only
- Archived jobs and invoiced work orders can't be edited; Job setup says why.
- A job on the customer's consolidated billing shows the rollup schedule read-only. Change it on the web dashboard.
- A job with seasonal pricing has its rate set by its seasons, so the Rate row is locked.
- Job inventory chemical billing is changed on the web.
Not editable from the phone: a job's customer or service location (not on the web either; create a new job instead), a work order's discounts and deposit (the Line items sheet keeps the existing discounts and counts them in the total), seasonal pricing, AutoPay, and archiving. Job setup also doesn't change which route, day, or how often the job is scheduled; use Add Existing Job on the Route tab or the job page on the web.
Frequently asked questions
Can I edit a job from the mobile app?
Yes, with the "Edit jobs" permission. Open the job's Job Details and use the Job setup section to change the name, time at stop, service report, preferred schedule, rate, billing, card fees, chemicals, and extra charges, a work order's line items and their sales tax, or to suspend or resume service.
Why don't my technicians see Job setup?
The built-in Technician role doesn't include the "Edit jobs" permission. Owner, Administrator, and Office Manager have it by default. Add "Edit jobs" to the technicians' role if you want them to edit jobs from the phone.
Can I change a work order's line items from the phone?
Yes. Open the work order's Job Details and, in Job setup under Pricing, tap Line items. You can change descriptions and prices, Add from catalog, and turn on Taxable for any line (it fills in the company default rate). Saving needs the "Edit jobs" and "Manage work orders" permissions and an internet connection, and an invoiced work order can't be changed. Discounts and deposits are still edited on the web job page; the sheet keeps the existing discounts.
Can I move a job to a different customer or address from the phone?
No, and not on the web either. A job stays with its customer and service location; create a new job for the other address and archive the old one on the web.
